Most corporate holiday gifts go wrong in the planning, not in the product. Someone picks a cup in early December, the name list is still in three spreadsheets, half the team works remote, and the delivery date was never written down. If your corporate holiday gifts are drinkware this year, start at the end. Pick the day the gifts need to be in hands, then count back.
This guide is for HR teams, office managers and account teams who own the gift budget. It walks through the back-planning, the employee-versus-client decision, and the details that usually surface too late.
Start with the delivery date, not the order date
Write down one date: the day the gifts need to arrive. That might be the last office day before the break, the date of the holiday party, or the week your account team wants client gifts on desks. Everything else comes from that date.
Our published timing has two parts. Our designs and name or text cups ship in 5 business days. Your own logo or artwork takes 10 to 14 business days from proof approval. Transit is another 3 to 7 business days by USPS or UPS. For your own logo or artwork, that is up to 21 business days from the day you approve your proof to the day the box arrives.
Two things to keep in mind when you count:
- The clock starts at proof approval, not at checkout. Time spent collecting names, fixing logo files or waiting on a sign-off from your manager comes before the 21 days, not inside them.
- Count business days. Skip weekends and any holidays your office or carrier takes off. Twenty-one business days is more than four calendar weeks.
If your date is already closer than that, ask about rush before you order. Rush is available by arrangement, and it has to be set up before the order is placed.
A back-planning calendar you can copy
Here is the same timeline laid out from the delivery date backward. The production and transit rows come from our published timing. The rows above them are your side of the work, so adjust them to how fast your approvals actually move.
| Step | When | Who owns it |
|---|---|---|
| Gifts arrive | Your delivery date | Carrier |
| Transit | 3 to 7 business days before delivery | USPS or UPS |
| Production | 10 to 14 business days before shipping for your own logo or artwork (5 for our designs and name cups) | Karved |
| Approve the proof | At least 21 business days before delivery | You |
| Review the proof, check every name | A few days before approval | You and whoever signs off |
| Request a quote with logo, quantities, names and addresses | Before proof review | You |
| Order a sample cup (optional) | Allow its own production and transit before the full run | You |
| Lock budget, gift type and recipient list | First | You |
For bulk and business orders, the quote request is the starting point. Requests that need a custom quote get a reply from our team within one business day, so the slow part is usually internal: getting the list and the logo together.
Corporate holiday gifts: drinkware for employees vs clients
Employee gifts and client gifts do different jobs, and the cup should match the job. For holiday orders we suggest two families.
Employee gifts: the 12oz Wine Tumbler
The 12oz Wine Tumbler is UV printed, so your logo goes on in full color. It suits a team gift handed out at a holiday party or packed in a year-end box. It is small enough to feel like a treat and simple to give to everyone on the team at once.
Client gifts: the 20oz and 40oz Travel Mugs
The 20oz and 40oz Travel Mugs are laser engraved with a clean one-tone mark. The mark is cut into the mug, so it is permanent. For clients, a travel mug tends to live in the car or on a desk, which keeps your name in view long after the season. Add the client's name under your logo and it reads as a gift for them, not a promo item.
Not sure which way to go? Our corporate drinkware gifts page lays out which cups suit which occasion, and our guide to choosing corporate drinkware covers what to pick and why. If you are also building welcome kits for January hires, see employee onboarding drinkware; the same planning applies.
The details buyers forget
These are the items that tend to push a holiday order past its date. Sort them out before you request a quote.
The name list
Each cup in an order can carry a different name under the same logo. Send the full list with your quote request, and names are priced on your quote. Every name appears on one digital proof, so you can check the spelling before anything is made.
Pull the list from one source, not from memory. Check preferred names, not just legal names. Decide now how you want names formatted (first name only, or first and last) so the proof matches what you meant.
Remote addresses
If part of your team or client list works from home, you have two options. Ship the whole order to one office and hand them out, or send each cup to its own address. Shipping to several addresses is quoted separately from the cups, so include the addresses with your quote request.
We ship to all 50 US states. Alaska and Hawaii may take longer, so leave extra room for those addresses. We do not ship internationally, so plan another route for anyone outside the US.
Artwork that is ready to use
Send your logo as vector art (PDF, AI, EPS or SVG) with fonts outlined, or as raster art at 300 dpi or higher. A file that needs to be redrawn or re-exported is one of the easiest ways to lose a week before the proof stage.
A sample cup before the full run
There is no minimum online, so you can order one cup with your logo and see it in hand before you commit to fifty. It is the simplest way to settle a debate about cup color or logo size. Just remember the sample has its own production and transit time, so it belongs near the top of your calendar, not the week before the main order.
A quick pre-order checklist
- Delivery date written down and agreed
- Proof approval date counted back at least 21 business days
- Employee gifts and client gifts split, with a cup chosen for each
- Name list cleaned, formatted and in one file
- Shipping plan: one office, or individual US addresses collected
- Logo file in vector format with fonts outlined, or 300 dpi or higher
- Sample cup ordered, if you want one, with time to spare
- Someone named to approve the proof, and their availability checked
FAQ
How far ahead should we order corporate holiday drinkware?
Approve your proof at least 21 business days before your delivery date. That covers 10 to 14 business days of production for your own logo or artwork and 3 to 7 business days in transit. Build in time before that for quotes, names and proof review. If you are already inside that window, ask about rush before you order.
Can every cup have a different name?
Yes. Each cup can carry a different name under the same logo, all shown on one proof so you can check spelling. Names are priced on your quote.
Can you ship gifts to remote employees and clients?
Yes, to any address in the 50 US states. Shipping to several addresses is quoted separately from the cups, and Alaska and Hawaii may take longer. We do not ship internationally.
