How Far in Advance Should You Order Custom Drinkware for an Event?

Most event cups that arrive late were ordered on time. The days usually slip somewhere else: a logo waiting on sign-off, a name list still in someone's inbox, a loading dock that closes at 3pm. So if you're working out how far in advance to order custom tumblers, start from the event date and count backward through each step, including the ones your own team controls.

This guide gives you a simple worksheet to do that. It uses our published timing, and it takes about five minutes with a calendar open.

The numbers to start from

Three published facts drive the whole calculation:

  • Our designs and name or text cups ship in 5 business days. Your own logo or artwork takes 10 to 14 business days from proof approval, not from the day you place the order.
  • Transit is another 3 to 7 business days by USPS or UPS.
  • For your own logo or artwork, that adds up to as many as 21 business days from proof approval to delivery.

The key date is when you approve the proof, not when you check out. Every custom order gets a digital proof, and nothing is made until you approve it. Until that approval happens, the 21 days haven't started.

Business days skip weekends, so 21 of them come to a little over four calendar weeks. If a public holiday falls inside your window, add a day for it.

How far in advance to order custom tumblers: the worksheet

Work from the bottom up. Write each date down as you go.

Step What to count back Your date
1. Event date The day the cups get handed out
2. Need-by date When the cups must be in hand. Leave a few business days before the event for unpacking, sorting names and any receiving limits at the venue.
3. Latest proof approval Need-by date minus 21 business days (production plus transit)
4. Proof in your inbox Latest approval minus the business days your team needs to review and sign off
5. Order placed Before step 4, with your artwork, quantity, any names and the event date included

Step 3 is the one to circle. Everything after it runs on our published windows. Everything before it runs on your side of the desk.

A worked example

Say your company event is on Thursday, April 22, 2027, and the cups are going to a conference venue.

  1. Need-by date: you want the boxes there by Monday, April 19, three days early.
  2. Latest proof approval: count back 21 business days from April 19 and you land on Friday, March 19.
  3. Review time: your marketing lead and a director both have to sign off, so allow three business days. The proof needs to reach you by Tuesday, March 16.
  4. Order: place it well before March 16, and put April 22 on the quote request.

The calendar says late April. The worksheet says the work starts in early March. That gap surprises a lot of planners.

The delays that come from your side

The published windows are the part you can plan around. Your own sign-off steps are the part that tends to stretch, so give each one a real number in the worksheet.

Artwork sign-off

Find out who has to approve the design before you order, not after the proof shows up. If the logo needs a brand team's blessing, or the event mark is still being finalized, that time belongs in step 4. Sending a print-ready file helps too. Vector art (PDF, AI, EPS or SVG) with fonts outlined, or raster art at 300 dpi or higher, keeps the proof from bouncing back for a better file. Our print-ready artwork guide covers what to send.

Name lists

Each cup can carry its own name, and every name appears on one proof so you can check spelling before anything is made. That only works if the list is final. Registration lists change, so pick a cutoff date for names that falls before you request the quote, and send the list with your request.

Venue receiving hours

Hotels and conference centers often have their own rules for event shipments: receiving hours, labeling requirements, or a limit on how early they'll accept boxes. Ask the venue before you set the need-by date in step 2. If the venue can't hold boxes early, shipping to your office and carrying them in can be simpler.

More than one address

We ship to all 50 US states. You can send the whole order to the venue, the office or your home, or split it across several addresses. Shipping to several addresses is quoted separately from the cups. Alaska and Hawaii may take longer, and we do not ship internationally.

When to ask about rush

Run the worksheet first. If step 3 has already passed, or step 4 leaves your team no realistic time to review, ask about rush. Rush is available by arrangement before you order, so raise it on the quote request rather than after checkout.

Whichever way you go, include the event date. Tell us your event date and we confirm we can hit it before you pay. If the date is tight, you'll know before any money changes hands.

Before you order: a quick checklist

  • Event date and need-by date written down
  • Latest proof approval date counted back 21 business days
  • Names of everyone who signs off on the proof, and how long each needs
  • Final artwork in a print-ready format
  • Name list closed, if you're adding names
  • Venue receiving rules confirmed, or a decision to ship to the office
  • Delivery addresses listed, if you're splitting the order
  • Event date included on the quote request

FAQ

Does the 21 business days start when I place the order?

No. The clock starts when you approve the digital proof. Your own logo or artwork takes 10 to 14 business days from proof approval, and transit adds 3 to 7 business days after that. Our designs and name or text cups are faster: they ship in 5 business days.

Can I order a few cups online instead of requesting a quote?

Yes. There is no minimum online, so a small group can order directly. The same timing applies once the proof is approved.

What if my event is closer than the worksheet allows?

Ask about rush when you request your quote, before you order, and include the event date. We confirm we can hit your date before you pay.
